Delete Downloaded Transactions in QuickBooks Desktop

By SimpleBankConvertPublished October 17, 2026

To delete downloaded transactions in QuickBooks Desktop before they reach your register, open the Bank Feeds center, go to the Transaction List for the account and use Ignore on the lines you do not want, one at a time or through Batch Actions. Deleted downloads cannot be downloaded into the same company file again, so check before you clear them.

What deleting downloaded transactions removes in QuickBooks Desktop

Deleting downloaded transactions in QuickBooks Desktop removes lines from the Bank Feeds list, the holding area between your bank file and your register. It does not touch entries already in the register. A downloaded line becomes a register entry only when you add or match it, so deleting a line before that step leaves your books as they were.

It helps to picture the two places a bank line can live in Desktop:

  • The Bank Feeds Transaction List. Every line from a Direct Connect download or a Web Connect file lands here first. QuickBooks sorts the lines by how well it recognizes them and waits for you to add, match or ignore each one.
  • The account register. This is your books. A line gets here when you add it as a new check, deposit or transfer, or match it to an entry you already typed.

Intuit's page on downloading Bank Feed transactions in QuickBooks Desktop points to the Transaction List as the place to go when you have downloaded lines you have not reviewed yet. It also says you can delete any remaining lines that were previously matched or added, which is the tidy-up you do after a review session leaves leftovers behind.

If what you want to remove is a whole Web Connect file you just opened, rather than a few lines, undoing a Web Connect import in QuickBooks Desktop covers that case end to end.

Can deleted downloads come back into the Desktop company file?

Deleted downloads do not come back on their own. The same Intuit page states that once you delete your downloaded transactions, you can't download them again, and explains that this is how QuickBooks avoids duplicate entries. Each company file accepts a given download once. Your bank may be able to reopen the lines, but that is up to the bank.

This is the single most important fact before you clear anything. A line you delete from the Transaction List is not parked somewhere to restore later. To get it back you have three routes:

  1. Ask the bank to reopen the transactions for download, if it offers that.
  2. Enter the transaction by hand in the register.
  3. Build a fresh file for the missing dates and import it.

The third route is where people get into trouble. A new file that overlaps lines you already added, or lines still sitting in the Transaction List, creates a second copy of each overlapping line. Fixing duplicate Web Connect transactions in QuickBooks Desktop shows how to find those pairs and remove the extra ones.

If the bank cannot reopen the lines and you still have the PDF statement, a QBO file built from it is the Web Connect type Desktop opens. SimpleBankConvert is being built to make one, though it is not open yet. Trim the dates to the gap only, so nothing overlaps.

Ignoring one downloaded transaction in the Bank Feeds Transaction List

Ignore is the Desktop action that removes a single downloaded line from the list without adding it to the register. Open the account's Transaction List, find the line, and choose Ignore from its action menu. Intuit's add-and-match article says plainly that Ignore deletes the transaction from your list.

The steps, with the usual Desktop menu names:

  1. Go to the Banking menu, then Bank Feeds, then Bank Feeds Center.
  2. Select the bank or card account on the left.
  3. Select Transaction List.
  4. Find the line. Filter by date or sort by amount to narrow a long list.
  5. Open the line's action dropdown and select Ignore.

Intuit's article on adding and matching Bank Feed transactions in QuickBooks Desktop describes Ignore on two of the list's groups. On the Partially recognized tab, Ignore deletes the transaction from your list. On the Unrecognized tab, it deletes the transaction from the list in the same way.

Intuit describes Ignore under Advanced mode, one of Desktop's three Bank Feed modes alongside Express and Classic. If you do not see Ignore, check which mode the company file uses.

Batch Actions for clearing many downloaded transactions

Batch Actions is the dropdown in the Transaction List that applies one choice to every line you tick. To clear a block of downloaded transactions, tick the lines, open Batch Actions and choose Ignore transactions. This is the fast route after a bad Web Connect file filled the list with lines you never meant to bring in.

  1. In the Transaction List, tick the checkbox for each line you want gone. Use the select-all box at the top of the column if every line on the tab should go.
  2. Open the Batch Actions dropdown.
  3. Select Ignore transactions.
  4. Confirm.

Intuit's add-and-match article names Ignore transactions as a Batch Actions choice on the Partially recognized tab. It says Batch Actions can make several changes at once elsewhere too, but does not list Ignore among the Unrecognized tab's batch choices, so on that tab you may need to ignore lines one by one.

Which delete fits each line

The table below is a decision guide by line status. Use it as a starting point and read each line before you act.

Line status in Desktop What it means Action
Not yet reviewed Downloaded, still in the Transaction List Ignore it, one at a time or through Batch Actions
Partially recognized QuickBooks guessed a payee or match but needs you Ignore, or fix the name and add it
Unrecognized QuickBooks found no payee or match Ignore, or add it with a payee and account
Already added or matched Now an entry in the register Delete or void it in the register, then clear any leftover in the list

Before you clear a batch

  • Note the first and last date of the lines you are about to clear.
  • Check that none of them is the only record of a real transaction.
  • Back up the company file, so a mistaken batch is a restore away rather than a re-entry job.

What about downloaded transactions already added to the Desktop register?

Downloaded transactions that are already added live in the register as ordinary checks, deposits and transfers. Removing them from the Transaction List does nothing to them. To take one out of your books, open it from the register and delete or void it, the same way you would remove any entry you typed by hand.

Pick delete or void on purpose. A void keeps the entry with a zero amount and a visible record that it existed, which is the cleaner trail when the line was real but recorded wrong. A delete removes it. For a line that was a straight copy from a doubled file, delete is the usual choice.

Watch for reconciled entries. A check mark in the register's cleared column means the line has been reconciled against a statement. Deleting it changes the opening balance your next reconciliation starts from. If you must remove a reconciled line, plan to reconcile that period again, and talk to your accountant if the period is closed.

If you are clearing a whole company file because you plan to rebuild it from scratch, you may not need every old transaction back. Some people start the new file from a trial balance at a cut-off date and import bank lines only after it. Importing a trial balance into QuickBooks Desktop explains that setup.

When deleting downloaded transactions is the wrong fix

Deleting downloaded transactions is the wrong fix when the line is real and QuickBooks simply failed to recognize it. An unrecognized or partially recognized line usually needs a name fixed or a match picked, not a delete. Delete a real line and you lose the download for good, then have to type it in by hand.

The common cases where you should keep the line:

  • The payee name does not match your vendor list. The bank prints "AMZN MKTP US" while your vendor is "Amazon". Intuit's add-and-match article suggests creating an alias that ties the name in the bank file to a name in QuickBooks. In Express mode, renaming rules do this job and can create a new transaction ready to add.
  • QuickBooks matched the line to the wrong entry. In Express mode, choosing Not a match changes the line's status to Unmatched, so you can match it properly. In Classic mode, you unmatch the transaction and choose again.
  • The line looks like a duplicate but is not. Two identical coffee shop charges on the same day may both be real. Check the bank statement before you ignore one.

The safe rule is short: ignore a downloaded line only when you are sure it should never be in this company file. If you are unsure, leave it in the Transaction List for now. It costs nothing to wait, and it cannot be downloaded again once it is gone.

A lingering line does have one small cost: it keeps showing in the account's count of items to review, which makes it easy to miss new lines that arrive with the next download. If that bothers you, write the date and amount of each doubtful line on a short list, check them against the statement when it arrives, and ignore or add them in one sitting. That turns a guess into a decision backed by the bank's own record.
