> How to download bank statements from online banking as PDFs: where banks keep them, how many years they hold and how to get older ones by request.
To download bank statements from online banking, sign in on a computer, open the statements or documents section, choose the account and the month, and save each statement as a PDF. Banks keep a set number of years online, which differs by account type. For anything older, ask the bank for copies.

## Where online banking keeps PDF bank statements

Banks keep PDF statements in a section separate from the transaction list, usually named something like Statements, Documents, or Statements and documents. It sits in the main menu or on each account's page. The transaction list shows live activity. The statements section holds the fixed monthly documents.

Wells Fargo is one example. Its [online statements page](https://www.wellsfargo.com/online-banking/statements/) says you sign on, go to Statements & documents, and then select the account and time period. Other banks use similar wording, though the menu position varies.

If you cannot find the section:

- **Switch to a computer.** Phone apps sometimes hide statements several taps deep or leave them out.
- **Search the site's help** for "statements". The help result usually links straight to the right screen.
- **Check the account type.** Loan and card statements can live under a different heading from checking and savings.

Business owners often have a personal and a business login at the same bank. Statements for a business account appear only under the login that has access to it.

## Downloading a PDF bank statement one month at a time

Each statement is one month for one account, and you save it as a separate PDF. Open the statements section, pick the account, pick the month, open the statement and save it. A year of one account means twelve files, so name each one as you go.

The steps, in general form:

1. Sign in to online banking in a desktop browser.
2. Open the statements or documents section.
3. Choose the account.
4. Choose the statement period, often shown as the month and year or the closing date.
5. Open the statement. It usually opens as a PDF in a new tab or downloads at once.
6. Save it with a clear name, such as `checking-4417-2026-03.pdf`.
7. Repeat for every month and every account you need.

Save the PDF the bank gives you rather than printing a page from the browser. A bank-made PDF holds real text that software can read. A print-to-PDF of the screen, or a photo of a paper copy, may hold only an image.

### A checklist for saving a full year

Use this when you need a whole year, say for your taxes or a new set of books:

- One folder per year, with a subfolder per account.
- Twelve statements in each account folder, or the right number for accounts opened partway through the year.
- Each file opens and shows the correct account ending and period.
- The closing balance of each month matches the opening balance of the next.
- A backup copy outside the computer, such as cloud storage.

The balance check in the fourth line catches a missing month at once. If March closes at 8,410.22 and the file you think is April opens at 9,002.10, a statement is missing or out of order.

## How many years of bank statements does online banking hold?

Each bank sets its own limit, and the limit often depends on the account type. Deposit accounts tend to keep statements longest. Card and loan statements can drop off sooner. Your bank's statements page or help pages should say how far back each product goes.

Wells Fargo publishes its figures, which make a useful example. Its online statements page lists:

| Wells Fargo product | Statements available online |
| --- | --- |
| Deposit accounts, home mortgage, trust and managed investment accounts | up to 7 years |
| Credit cards, home equity lines, personal loans and lines | up to 2 years |
| Auto loans | up to 12 months |

The page also says there is no charge to receive statements online. Do not assume another bank matches these numbers. Look up your own bank's figures before you count on them.

The difference between rows matters. A business that needs three years of card statements may find only two online, even though its checking statements go back much further. Download the card statements first, while they are still there.

### How long should you keep your own copies?

The bank's archive is not your records. The IRS page on [how long to keep records](https://www.irs.gov/businesses/small-businesses-self-employed/how-long-should-i-keep-records) gives 3 years as the general period, with longer periods in some cases, such as 6 years if you underreport income by more than 25% and 7 years for a bad debt or worthless securities deduction. Download and keep your own copies for at least as long as the rule that applies to you.

## Requesting bank statements older than the online archive

When a statement has aged out of online banking, ask the bank for a copy. Most banks can produce older statements through customer service, a branch or a secure message, though it can take time and some banks charge for paper copies. Ask for PDFs where you can.

Make the request specific so it is filled correctly the first time:

- The account number, or at least its last four digits.
- The exact months you need, for example January 2023 to June 2023.
- The format you want: a digital PDF from the bank's system is better than a scan of paper.
- Where to send it: secure message, email or post.

Ask about any fee before you confirm. If the bank can only post paper copies, scan them at a good resolution, flat and straight. A clean scan reads far better than a phone photo taken at an angle.

If the account has been closed, you can still ask, but online access usually ends with the account. Save statements before closing any account.

## Can you download bank statements on an iPhone?

Yes, at many banks, but a computer is easier. Banking apps on the iPhone often let you open a statement and share or save it to Files, yet the menus are buried and the file name is usually unhelpful. For a whole year of statements, a desktop browser is quicker.

If the phone is all you have, open the statement in the app or in Safari, use the share button, choose Save to Files, then rename it. Check the saved file opens as a PDF, not a screenshot. A statement saved this way is the same document you would get on a computer, so it converts just as well later.

Statements and transactions are different downloads on the phone too. [Downloading bank transactions on an iPhone](/blog/download-bank-transactions-on-iphone) covers getting a CSV or QBO file of transactions from a phone, which is the other half of the job.

## Statement PDFs headed for QuickBooks or Xero

QuickBooks Online's manual upload and [Xero's bank statement import](https://central.xero.com/s/article/About-manually-importing-bank-statements-US) can both read a PDF statement, but QuickBooks Desktop needs it converted into a .qbo file first. Converting also lets you check the rows before import. Where your bank still offers a transaction download for those months, that file is often simpler.

Xero users have their own set of choices. [Getting bank transactions out of your bank for Xero](/blog/download-bank-transactions-for-xero) explains which download formats Xero takes and when the statement route is the better one.

Converting the PDF is what SimpleBankConvert is being built to do. It is meant to turn a digital bank statement into a CSV or QBO file for QuickBooks Online, or a CSV laid out for Xero, and it is in early access now. You can [ask to be told when accounts open](/get-started).

If you are setting up new books, bank history is only one piece. Lists of customers, vendors and products come across separately. [Importing customers into QuickBooks Online](/blog/import-customers-into-quickbooks-online) covers that list, so invoices and deposits from your statements can be matched to the right names.

## Statement download habits that cause trouble at tax time

Most statement problems show up months later, when someone needs a specific month and it is missing or unreadable. Saving files under the bank's default names, mixing accounts in one folder, relying on screenshots and waiting until a statement has aged out are the usual causes. Each is easy to prevent at download time.

The habits to drop:

- **Default file names.** A folder of files called `statement.pdf`, `statement (1).pdf` and so on is close to useless. Rename every file with the account and month.
- **Screenshots instead of PDFs.** A screenshot of the activity screen is not a statement. It has no closing balance and may cut off lines.
- **Downloading only when asked.** Card statements may leave online banking within two years at some banks, as the Wells Fargo table shows. Download monthly, or at least each quarter.
- **Combined statements left unchecked.** Some banks put checking and savings on one statement. Note which accounts each file covers, so nobody hunts for a savings statement that sits inside the checking file.

A routine fixes all four. On the same day each month, download the new statement for every account, rename it, file it, and check that its opening balance matches last month's closing balance. It takes a few minutes, and it means the full year is waiting when tax season arrives.
