> How to download a QBO file from Citibank for QuickBooks: where the export sits in online banking, the formats on offer and the date range limits.
To download a QBO file from Citibank, sign in to Citi Online on a computer, open the account's activity, choose the download or export option, select the QuickBooks format and a date range, then save the .qbo file. Citi decides how far back that export reaches. For older months, request the PDF statement and convert it.

## Where the Citibank transaction export sits in Citi Online

The Citibank export is attached to the account's transaction history rather than to the statements page. Open the bank or card account, go to its activity, and look for a download or export control near the list. Citi redesigns its pages now and then, so the wording on your screen is the guide.

Two places on Citi Online are easy to confuse:

- **Account activity**, the list of posted and pending transactions. This is where a file export for QuickBooks lives.
- **Statements**, the monthly PDFs. These are the bank's record of each month. QuickBooks Desktop can't import them, and QuickBooks Online reads them only through its statement upload, not as a data file.

If you land on the statements page and only see PDF links, go back to the activity view. The download for data files is a separate tool.

A few more points before you start:

1. Use the full website, not the mobile app. File exports are rarely offered in bank apps.
2. Pick one account at a time. A Citi checking account and a Citi card each produce their own file.
3. Know the last date already in QuickBooks for that account, so you can start the new file on the following day.

## Which formats does the Citibank download offer?

Citibank's export form lets you choose a file type, and the QuickBooks choice is the one that saves a file ending in `.qbo`. The list may also include a Quicken file (`.qfx`), a spreadsheet file (`.csv`) and sometimes a general OFX file. The exact labels depend on the account and the version of the page you see.

Choose by the program you use:

| Your software | Choose | Why |
| --- | --- | --- |
| QuickBooks Desktop | QuickBooks (.qbo) | Web Connect reads no other type |
| QuickBooks Online | QuickBooks (.qbo), or CSV as a back-up | QBO needs no column mapping |
| Quicken | Quicken (.qfx) | Made for Quicken's import |
| Xero | OFX or CSV | Xero reads both without a QuickBooks step |

Intuit is clear on the first row. Its article on [downloading bank feed transactions in QuickBooks Desktop](https://quickbooks.intuit.com/learn-support/en-us/help-article/bank-feeds/download-bank-feed-transactions-quickbooks-desktop/L8o0Aw9VM_US_en_US) says Web Connect accepts only .qbo files, and that QFX or QIF exports from your bank won't import. It also points you to your bank's website for the download steps, because each bank does it differently.

QuickBooks Online accepts more types. Its upload takes CSV, TXT, QBO and OFX lists, plus QFX files. Intuit still suggests a QBO file, because it carries the dates, amounts and descriptions in fields QuickBooks already understands.

## Citibank date range limits on a QBO download

The date range on a Citibank QBO download is limited by how much recent activity Citi keeps available for export. That window belongs to the bank and can differ between checking and card accounts. Find yours by asking for a longer range than you need and noting the earliest date that actually comes back.

Several things can make a Citibank file shorter than you expected:

- **The export window.** Anything older than the window is left out without an error.
- **The account's opening date.** A card opened in March has no February activity to give.
- **Pending transactions.** Lines that have not posted may be left out, or may appear and then change.
- **A first-time download.** Some banks send their full window on the first request regardless of the dates you type.

### How many lines one file should hold

Keep each file small enough for one QuickBooks upload. Intuit's guide to [manually uploading transactions in QuickBooks Online](https://quickbooks.intuit.com/learn-support/en-us/help-article/import-transactions/manually-upload-transactions-quickbooks-online/L0rE9OXBz_US_en_US) sets the limit at 350 KB and 1,000 lines per file. A personal card might fit a whole year inside that. A busy business card might not fit a single quarter. When in doubt, export one calendar month per file.

## Checking a Citibank QBO file before the upload

A Citibank QBO file is plain text, so you can check its date range and line count before QuickBooks sees it. Open a copy in a text editor such as Notepad or TextEdit, read it, and close it without saving. The original stays untouched and ready to upload.

### Reading the dates inside the file

A QBO file uses OFX-style tags. The statement range sits in two tags near the top, and each transaction has its own posted date. The example below is made up for illustration:

```
<DTSTART>20260301
<DTEND>20260331
<STMTTRN>
<TRNTYPE>DEBIT
<DTPOSTED>20260302
<TRNAMT>-48.19
<NAME>EXAMPLE HARDWARE STORE
```

Here the file claims to cover March 1 to March 31, 2026. The first transaction posted on March 2 and took $48.19 out. If the earliest `DTPOSTED` date is weeks after `DTSTART`, the export window cut the file short, or the account was quiet.

### Pre-upload checklist for a Citibank QBO file

Run through these before the upload:

1. The file name ends in `.qbo`, not `.qfx` or `.csv`.
2. `DTSTART` is the day after the last transaction already in QuickBooks.
3. `DTEND` is a day with fully posted activity.
4. The account number in the file matches the account you plan to upload into. Look for the account ID tag, often masked.
5. The count of `<STMTTRN>` entries looks right for the period. A month with 60 card swipes should not show 12.
6. The file is under the size and line limits above.

Reading tags by eye works for a quick check. For a proper look, a spreadsheet is easier. The guide to [converting a QBO file to CSV](/blog/qbo-to-csv) shows how to turn the file into rows you can sort and total without changing the original.

## Why won't a Citibank QBO file open in QuickBooks Desktop?

A Citibank QBO file that won't open in Desktop usually has one of three problems: it is not really a .qbo file, it was opened from the browser before it finished saving, or it covers transactions the company file already received. Each has a different fix, so start by checking the file ending.

**The file is a QFX or CSV.** The Quicken option and the QuickBooks option sit side by side on many download forms. Download again and choose QuickBooks. Renaming a `.qfx` to `.qbo` is a shortcut people try, and it sometimes works, but the safer route is to get the right file from Citi.

**The file was never saved.** Some browsers offer to open a download straight away. Save the file to your computer first, then open it in QuickBooks Desktop by double-clicking it or through the Web Connect import on the File menu.

**The transactions were already downloaded.** The same Intuit article on Desktop downloads says you can't download transactions into the same company file more than once. To get them again, the bank has to reopen them on its side. Before calling Citi, check whether the lines are already in your register. Often they are, and nothing needs fixing.

Intuit doesn't describe the same block for QuickBooks Online. There, check the review list after any overlapping upload and exclude the repeats by hand.

## Older Citibank statements for months the download skips

Months older than the Citibank export window are still covered by the monthly PDF statements. Citi's guide to [requesting previous statements](https://www.citi.com/CRD/PDF/Request_previous_statements_PDF.pdf) shows two steps: download recent statements from the Statements (PDF) link, and request older ones by year and month. It says those requests may take 48 to 72 hours to fulfil.

Plan for that delay. If you are setting up QuickBooks for a full year and the export only reaches the last few months, request the older PDFs first, then work on the recent months while you wait.

The same guide notes that only statements issued after the card was registered for Citi Online are immediately available. If you registered recently, more of your history may sit behind the older-statements request than you expect.

Once you have a PDF, QuickBooks Online's manual upload can read it for you to review, but QuickBooks Desktop needs it converted into a .qbo file. In a conversion, each dated line becomes a row with a date, description and signed amount, and the opening balance plus those rows must equal the closing balance. SimpleBankConvert is being built to turn digital PDF statements into a CSV or QBO file. It is not yet open for accounts, and the [homepage](/) shows a sample of the output.

Here is how the timing might work for an example card account being set up in October, where the export reaches back to June:

1. Day one: request the January to May statements through the older-statements form.
2. Same day: export June to September as monthly QBO files and upload them.
3. Two or three days later: download the requested PDFs, convert each month, and upload January to May.
4. Reconcile the months in order, starting with January, once every month is in.

Doing the recent months first means the waiting time is not wasted, and reconciling in date order catches a missing month straight away.

Keep the sources apart. Use converted PDFs for every month before a chosen cutover date, and the Citibank QBO export from that date on.

Other large banks run their exports in much the same way, with their own limits. See [how to download a QBO file from US Bank](/blog/how-to-download-qbo-file-from-us-bank), where the Quicken option is easy to pick by mistake, and [how to download a QBO file from PNC](/blog/how-to-download-qbo-file-from-pnc), which covers what to do when the QuickBooks option isn't showing.
