> How to import Etsy sales into QuickBooks from Etsy's monthly CSV: sales, fees, shipping labels and deposits recorded so the bank lines match.
To import Etsy sales into QuickBooks, download Etsy's monthly statement CSV, total the month's sales, fees, shipping labels and refunds, and record them as one entry that runs through a clearing account. Each Etsy deposit to your bank then moves money out of that clearing account, so the sales show in full and the bank lines match.

## Etsy CSV files to download before touching QuickBooks

Etsy lets sellers download shop data as CSV files, and two of them matter for QuickBooks. The monthly statement of your Etsy payment account shows every sale, fee, label purchase, refund and deposit. The orders file lists each order with its items and buyer. The statement is the one that explains your bank deposits.

Etsy moves its menus from time to time, so look in Shop Manager for the download data option or the monthly statements page rather than relying on a fixed path. Pick the month, download the CSV and keep the file unchanged as your record. Work on a copy.

### What each row of the statement tells you

Each row of the payment account statement has a date, a type, a title and an amount. The type is what you sort by. Typical types include sales, the various fees, shipping label purchases, refunds, taxes collected for the buyer's state and deposits to your bank. Sorting the copy by type and adding a subtotal under each group gives you nearly everything the QuickBooks entry needs.

### The orders file as a cross-check

The orders file is useful when the sales subtotal looks wrong. Its order totals for the month should come close to the sales rows in the statement, allowing for orders placed on the last day that settled the next month. Large differences point to a refund or cancellation you haven't accounted for yet.

## Why does an Etsy deposit fall short of the month's Etsy sales?

An Etsy deposit is your sales minus everything Etsy charged inside the payment account. Listing fees, transaction fees, payment processing fees, advertising and shipping labels you bought through Etsy all come off before the money moves to your bank. The deposit is a net figure, and the difference is your cost of selling there.

The gap surprises sellers who buy shipping labels through Etsy, because labels can be a large share of the month. A shop that sold 2,000 of goods might see 1,500 reach the bank and wonder where 500 went. The statement answers that line by line: fees for listing and selling, card processing on each order, and the postage for every parcel.

### Deposits don't follow the calendar

Etsy deposits arrive on a schedule of their own, not on the last day of each month. A single month can have several deposits, and the first deposit of a month can include sales from the end of the previous one. That is why it pays to record the month's activity and the deposits as separate steps, instead of trying to explain each deposit with a slice of sales.

## Grouping Etsy fees and shipping labels into QuickBooks accounts

Etsy charges many small fees, and QuickBooks doesn't need an account for each. Three or four expense accounts cover most shops: one for marketplace fees, one for payment processing, one for advertising and one for postage. Add an income account for Etsy sales and a clearing account to hold the month's net until the deposits arrive.

Here is an example mapping from Etsy statement types to QuickBooks accounts. The account names are suggestions.

| Etsy statement type | QuickBooks account | Account type |
| --- | --- | --- |
| Sale | Etsy Sales | Income |
| Listing fee, transaction fee | Etsy Marketplace Fees | Expense |
| Processing fee | Payment Processing Fees | Expense |
| Etsy Ads, Offsite Ads | Advertising | Expense |
| Shipping label | Postage and Shipping | Expense |
| Refund | Etsy Refunds | Income (contra) |
| Deposit to bank | Etsy Clearing | Bank or other current asset |

Keep the mapping in a tab of the workbook you use each month. When a new fee type shows up in the statement, add it to the mapping before you post anything.

### Sales tax Etsy collects for you

Your statement may show sales tax charged to buyers. Tax that Etsy sends to a state on your behalf is neither your income nor your expense. Check how your statement shows them; where a tax amount is added and then removed within the account, the two cancel and nothing needs posting. Ask your accountant how to treat any that don't cancel.

## A month of Etsy activity as one QuickBooks entry, worked through

One journal entry per month can carry a whole Etsy month. Sales are a credit to Etsy Sales; refunds and each fee group are debits; the remainder is a debit to Etsy Clearing. The entry balances because the statement balances. Intuit's guide to [importing journal entries into QuickBooks Online](https://quickbooks.intuit.com/learn-support/en-us/help-article/import-export-data-files/import-journal-entries-quickbooks-online/L4tQBwbs7_US_en_US) shows the columns if you'd rather upload than type.

Here is an example month. The figures are made up for illustration.

| Group from the statement | Subtotal |
| --- | --- |
| Sales | 2,140.00 |
| Refunds | -64.00 |
| Listing and transaction fees | -170.20 |
| Processing fees | -78.35 |
| Etsy Ads | -45.00 |
| Shipping labels | -212.45 |
| Net left for deposits | 1,570.00 |

| Account | Debit | Credit |
| --- | --- | --- |
| Etsy Clearing | 1,570.00 | |
| Etsy Refunds | 64.00 | |
| Etsy Marketplace Fees | 170.20 | |
| Payment Processing Fees | 78.35 | |
| Advertising | 45.00 | |
| Postage and Shipping | 212.45 | |
| Etsy Sales | | 2,140.00 |

The debits total 2,140.00, matching the single credit. Date the entry on the last day of the month, and put the month and "Etsy statement" in the memo so it is easy to find later.

### When the deposits arrive

Suppose the month had three deposits of 600.00, 520.00 and 450.00. Each one is categorized to Etsy Clearing when it reaches bank review. Together they remove 1,570.00 from clearing, and the account goes back to zero. If the deposits for a month total less than the net, the rest is usually still in Etsy's account and will arrive early next month.

## Etsy refunds and cancelled orders after the month is booked

An Etsy refund given in a later month belongs to the month in which it was given. It shows up in that month's statement as a refund row, and it goes into that month's entry as a debit to Etsy Refunds. You do not reopen the earlier month to change the original sale.

A cancelled order follows the same rule. If the sale and the cancellation fall in the same month, they net out in the subtotals. If they straddle two months, the sale is in the first entry and the reversal in the second.

### A quiet month with a large refund

Now and then a slow month carries a refund for an expensive order sold earlier. The refunds and fees can then exceed that month's sales, and the statement shows a negative net. Record the entry as usual, with Etsy Clearing as a credit instead of a debit. Whatever later covers the shortfall, from your bank or from next month's sales, goes to Etsy Clearing and brings it back to zero.

### When a credit memo is the better record

Shops that also invoice wholesale customers through QuickBooks sometimes refund those customers outside Etsy. A refund on an invoice is a credit memo, not an Etsy refund row. The guide to [importing credit memos into QuickBooks Online](/blog/import-credit-memos-into-quickbooks-online) covers that record.

## When is order-by-order Etsy entry worth the effort?

Order-by-order entry means one QuickBooks sale for every Etsy order. It is worth it only when you need detail a monthly entry can't give: inventory relieved item by item, sales by product for a lender, or buyer-level records your accountant asks for. For most shops, a monthly summary gives correct income and costs with a fraction of the typing.

If you do record each order, use a sales receipt, which Intuit describes as the form for [a sale the customer pays for immediately](https://quickbooks.intuit.com/learn-support/en-us/help-article/sales-receipts/create-send-sales-receipts-quickbooks-online/L9vG2pbTQ_US_en_US). Send each one to Etsy Clearing, not to the bank, and still post the month's fees from the statement. The deposits then clear the account the same way as with the summary.

### eBay and other marketplaces

Sellers on more than one marketplace can use the same pattern for each: one income account per channel, the fees grouped, and a clearing account per platform. The guide to [importing eBay sales into QuickBooks](/blog/import-ebay-sales-into-quickbooks) shows how eBay's reports fit that shape.

## Etsy deposits in the QuickBooks bank feed

Etsy deposits reach QuickBooks as lines in your bank account, by feed or by uploaded file. Each one is categorized to Etsy Clearing, never to Etsy Sales, because the monthly entry already recorded the sales. If the deposits are missing, the matching can't happen and the clearing account looks too high.

A short month-end check keeps the Etsy accounts honest:

- Etsy Clearing is zero, or equal to the net that Etsy still holds.
- Etsy Sales for the month equals the sales subtotal in the statement.
- No Etsy deposit was categorized to an income account.

A bank connection that stops updating is the usual reason deposits go missing. The guide to [fixing QuickBooks error 185](/blog/quickbooks-error-185) covers the extra security step a bank can ask for before the feed updates again. While a feed is down, the bank's statement still has every deposit. [SimpleBankConvert](/) is being built to turn that PDF into a file QuickBooks will take, so the Etsy deposits can be matched before the feed recovers.
