Import Invoices into QuickBooks Desktop from Excel

By SimpleBankConvertPublished October 17, 2026

To import invoices into QuickBooks Desktop from Excel, you need Desktop Accountant or Enterprise. Open Accountant > Batch Enter Transactions, choose Invoices, arrange your Excel columns in the grid's order and paste the rows. Pro and Premier have no such grid, so invoices from a spreadsheet go in as an IIF file instead.

Which QuickBooks Desktop editions take invoice rows from Excel?

Only QuickBooks Desktop Accountant and Desktop Enterprise can paste invoices from a spreadsheet. Intuit's article on entering transactions by batch in QuickBooks Desktop names those two editions, and says batch entry from Excel or CSV works for bank, credit card, accounts receivable and accounts payable registers. Invoices are accounts receivable transactions, so they are covered.

The test is quick. Open the company file and read the menu bar. An Accountant menu with Batch Enter Transactions on it means the grid is available. No Accountant menu means you are on an edition without the tool, such as Pro or Premier, and the paste route is closed.

What the other editions can still do

Pro and Premier users have two fallbacks. One is an IIF file, a tab-separated text format Desktop reads through its File menu, covered further down. The other is to hand the spreadsheet to an accountant who runs the Accountant edition and can open your file. If you take the second route, agree on invoice numbers in advance so the accountant does not reuse ones you already sent.

Back up first, whatever the edition

Intuit's batch entry page says to back up the company file before you start. Treat that backup as your only reliable undo. Make a local backup a few minutes before you paste, with the date in its file name, so a restore loses nothing but the batch.

Why the Desktop Excel list import turns away invoices

The Excel import built into every Desktop edition handles lists, not transactions. Intuit's page on importing and exporting Excel files in QuickBooks Desktop says Add/Edit Multiple List Entries cannot import invoices or bills. It covers customers, vendors, items and the chart of accounts.

That page describes two screens. Lists > Add/Edit Multiple List Entries is a grid for creating many customers, vendors or items at once. File > Utilities > Import > Excel Files leads to Advanced Import, which maps a formatted sheet onto the same lists. Neither creates an invoice, however the sheet is laid out.

These list tools still matter for invoices, because an invoice can only name a customer and an item that already exist. A sensible order is:

  1. Use Add/Edit Multiple List Entries to add any new customers from the spreadsheet.
  2. Use the same grid to add any new service or non-inventory items.
  3. Only then move to the batch grid or the IIF file for the invoices themselves.

Doing the lists first means fewer red cells later, and a typo in a customer name gets caught on a screen built for names.

Arranging invoice columns in Excel for the batch grid

The Batch Enter Transactions grid reads pasted columns in its own left-to-right order, not by header name. Pick Invoices as the transaction type, look at the column headings the grid shows, and rearrange your Excel sheet to match them exactly. Delete any Excel column the grid has no place for.

Intuit's article tells you to match the spreadsheet's column order to the window and select the Accounts Receivable account from the drop-down at the top. Your own grid may show a slightly different set of columns depending on version and preferences, so treat the layout below as an example to adapt, not a fixed template.

An example invoice sheet

The values here are invented for illustration.

Customer Date Invoice no. Item Qty Rate Amount Memo
Example Dental Group 03/02/2026 2041 Monthly bookkeeping 1 450.00 450.00 March retainer
Harbor Street Cafe 03/02/2026 2042 Monthly bookkeeping 1 300.00 300.00 March retainer
Lindqvist Studio 03/03/2026 2043 Payroll setup 3 85.00 255.00 Three hours

A few habits keep the paste clean:

  • Dates in one format, with four-digit years, typed as dates rather than text.
  • Amounts as plain numbers, with no currency symbol and no thousands separator.
  • No total row at the bottom and no blank rows in the middle.
  • Customer and item names spelled exactly as they appear in Desktop's lists.

Terms and due dates

If the grid shows a terms or due-date column, fill it. Otherwise each invoice takes the customer's default terms. Check one invoice after saving to confirm the due date came out as expected, because an aging report is only as good as those dates.

Pasting invoice rows and clearing the red customer names

After you copy the rows in Excel, right-click the first date cell in the Batch Enter grid and choose Paste. Any customer, item or account Desktop does not recognise turns red. Select each red value and use Quick Add or Set Up to create it, or fix the spelling, before you save.

Red usually means one of three things. The name is new and needs adding. The name exists but is spelled differently, for example "Harbor St Cafe" in Excel and "Harbor Street Cafe" in Desktop. Or the name belongs to a job under a customer, which Desktop writes with a colon, such as Lindqvist Studio:Rebrand. Quick Add is right only for the first case. For the second and third, correct the cell so the invoice lands on the existing record instead of creating a near-duplicate customer.

Saving the batch

When nothing is red, choose Save Transactions, then Yes on the Confirm Account screen. Count the new invoices in the customer register and compare that count with the number of invoices in your sheet. Then open the A/R aging summary and confirm the new total matches the sum of the Amount column.

Removing a mistaken batch

Batch deletion exists only in Premier Accountant 2018, Enterprise 18.0 and later versions, according to the same Intuit page. On other versions you delete one transaction at a time with Ctrl+D. For a large mistake, restoring the backup is faster.

Can one Excel invoice carry several item lines?

A batch-entered invoice holds one line per Excel row unless you add split lines. Rows that share an invoice number do not merge into one invoice. Intuit's article says the same transaction number on separate rows creates separate transactions, and that the Split button adds extra lines to a single transaction.

This catches people who lay out a sheet the way an invoice looks on paper, with three rows for invoice 2043 because it has three items. Pasted as is, that produces three invoices numbered 2043, each with one line. The customer then receives three documents, and the A/R report shows three open balances.

There are two clean ways around it:

  • Keep one row per invoice. If most invoices have a single item, paste them as one-line invoices, then open the few multi-item ones and add lines by hand, or use Split in the grid.
  • Use IIF for multi-line work. An IIF transaction has one header line and as many detail lines as you need, so a three-item invoice stays one invoice. The next section shows the shape.

An IIF invoice file for Pro and Premier users

An IIF file is the route for Pro and Premier, and for any invoice with several lines. Intuit's IIF overview and Import Kit page offers sample invoice files and says to use the sales-tax version if the Sales Tax preference is on, entering zero tax where none applies.

Start from Intuit's sample invoice file rather than writing headers from memory. Each invoice is a TRNS line for the customer side, then one SPL line per item, then ENDTRNS. Below is an illustrative sketch of invoice 2043 with two items. The names, numbers and columns are examples. Check the signs and the column list against the sample file before you rely on them.

!TRNS	TRNSTYPE	DATE	ACCNT	NAME	AMOUNT	DOCNUM
!SPL	TRNSTYPE	DATE	ACCNT	NAME	AMOUNT	DOCNUM	INVITEM	QNTY	PRICE
!ENDTRNS
TRNS	INVOICE	03/03/2026	Accounts Receivable	Lindqvist Studio	335.00	2043
SPL	INVOICE	03/03/2026	Consulting Income	Lindqvist Studio	-255.00	2043	Payroll setup	-3	85.00
SPL	INVOICE	03/03/2026	Consulting Income	Lindqvist Studio	-80.00	2043	Filing fee	-1	80.00
ENDTRNS

The TRNS amount is the invoice total owed to you. The SPL amounts carry the opposite sign and add back to that total, so the transaction balances.

What IIF checks, and what it does not

Intuit's page warns that IIF import has only limited error checking, and that a badly formatted file can import wrong data with no error at all. It also says an account named in the file but missing from Desktop is created as a new bank account. So "Consulting Income" spelled one letter wrong becomes a bank account full of sales. Copy account and item names from an IIF export of your own lists, then open the chart of accounts after the import to look for strays.

When typing invoices beats an Excel invoice import

An import pays off when there are dozens of similar invoices. For five or ten, typing them into Create Invoices is faster than arranging columns, clearing red cells and checking the results. Typing also suits invoices with sales tax, discounts or progress billing, where a pasted row hides details you would want to see.

A few other cases point away from an import:

  • The invoices were already sent from another system. If the job is history rather than billing, ask whether you need every invoice or only the open balances. A single opening entry per customer is often enough.
  • The source is a pile of PDF invoices. Desktop cannot read them, and retyping them into Excel first adds a step. If the books are in QuickBooks Online instead, importing PDF invoices into QuickBooks Online covers that case.
  • The books live in Quicken. Quicken files take a different shape of data, which importing a CSV file into Quicken walks through.

After the invoices, the payments

Imported invoices stay open until a payment is applied. Customer payments are a separate task with their own pitfalls, and importing customer payments into QuickBooks Online shows how payments meet invoices on the Online side. On Desktop, the money eventually shows up on a bank statement too. SimpleBankConvert is being built to turn that statement PDF into a QBO file Desktop can open, so the deposit can be matched to the payment; Get started puts you on the early-access list.
