> How to move from QuickBooks Self-Employed to QuickBooks Online: what transfers, what you must export first and how to reconnect bank accounts.
Moving from QuickBooks Self-Employed to QuickBooks Online means setting up a new set of books, not flipping a switch. Export your Self-Employed reports and transactions first, then build a chart of accounts and choose a start date. After that, enter opening balances and reconnect bank accounts in QuickBooks Online from that date.

## Why QuickBooks Self-Employed and QuickBooks Online are separate setups

QuickBooks Self-Employed and QuickBooks Online are separate products with separate sign-ins. Intuit's [QuickBooks Self-Employed page](https://quickbooks.intuit.com/self-employed/) links to Self-Employed sign-in at its own address, apart from QuickBooks Online and the newer QuickBooks Solopreneur. Plan the move as a fresh start, and treat anything Intuit carries across as a bonus.

The two also keep records differently. Self-Employed is built around sorting bank and card lines into tax categories, so a sole owner can see income and deductible expenses. QuickBooks Online keeps a full double-entry ledger. It has a chart of accounts, customers, vendors, invoices and a balance sheet.

That difference explains why people move. Common reasons include:

- The business has formed an LLC or taken on a partner, and needs a balance sheet.
- An accountant asks for a ledger they can adjust.
- You need invoices, bills or sales tax tracking that a tax-category tool doesn't cover.

Before you start, sign in to Self-Employed and look for any upgrade offer Intuit shows there. If one exists, read exactly what it moves. Then plan around the exports below regardless, so that nothing depends on a transfer you haven't seen work.

If you are arriving from a different product, such as Zoho Books, the setup in QuickBooks is the same, and [switching from Zoho Books to QuickBooks](/blog/switch-from-zoho-books-to-quickbooks) covers the export side for that program.

## What QuickBooks Self-Employed records should you export first?

Export every QuickBooks Self-Employed report you would need for a tax return or a question about a past year. That means the yearly tax summaries, a full transaction list for each year, mileage logs and any invoices you sent. Save them as files outside Intuit before you change or cancel anything.

A full set to save, per year:

1. **Tax summary** or profit and loss by tax category.
2. **Transaction list** with date, description, amount, category and the business or personal flag.
3. **Mileage log** with dates, trips and miles.
4. **Invoices** sent from the product, as PDFs or a list.
5. **Receipts** attached to transactions, downloaded if you rely on them as records.

Keep the files in one folder per year. They back up returns you have already filed, so treat them as tax records, not leftovers from an old app.

The transaction list is the one to check most carefully. Open it in a spreadsheet and confirm it covers the full year, with no gaps between months. It is your fallback for any period that the bank can no longer supply as a download.

## Turning Self-Employed tax categories into a QuickBooks Online chart of accounts

Self-Employed tax categories become QuickBooks Online accounts by mapping each category to one income or expense account. QuickBooks Online creates a starting chart of accounts when you set up the company. You add, rename or merge accounts so that each category you used has a clear home.

The table gives an example of the mapping for a freelance designer. The category names and account names are illustrative; use the ones from your own reports and your accountant's advice.

| Example Self-Employed category | QuickBooks Online account | Account type |
| --- | --- | --- |
| Gross receipts | Design income | Income |
| Advertising | Advertising and marketing | Expense |
| Car and truck | Vehicle expenses | Expense |
| Office expenses | Office supplies and software | Expense |
| Travel | Travel | Expense |
| Personal | Owner draws, for any personal spending from the business account | Equity |

The last row is the important one. Self-Employed lets you mark lines as personal and leave them out. QuickBooks Online has no "personal" bucket, so personal spending from a business account goes to an owner's draw or equity account.

Resist the urge to create one account for every merchant. A chart with forty expense accounts is hard to read and harder to keep consistent. Group spending the way your tax return groups it, and use the description or a memo for the detail. If a category in Self-Employed held two very different kinds of cost, such as software and printer ink, this is the moment to split it into two accounts. Doing it now is far easier than recoding a year of lines later.

Set up the accounts before you import or connect anything. Bank rules and the review screen both work far better when the right accounts already exist.

## Which start date works for a Self-Employed to Online move?

The start date for a Self-Employed to Online move works best on January 1, so that one tax year lives in one product. If the year is already well along, the first of a month works too. You then keep the earlier months' reports from Self-Employed for that year's return.

[Intuit's guide to entering an opening balance](https://quickbooks.intuit.com/learn-support/en-us/help-article/bank-deposits/enter-opening-balance-account-quickbooks-online/L7NcxTbuu_US_en_US) says each bank opening balance is the amount on the day you start tracking. It should come from your statement. The same page warns that adding older transactions without adjusting that balance counts the money twice.

An example: a consultant moves on 2026-04-01. The March bank statement closes at 6,742.30. That is the opening balance for the checking account, dated 2026-04-01. January to March stay in Self-Employed, and the tax summary for those months is saved as a file.

If you do want the earlier months in QuickBooks Online, load them as bank lines from the start of the year instead. Use the year start as the opening balance date, not April 1. Don't mix the two.

## Reconnecting bank accounts after QuickBooks Self-Employed

Reconnect bank accounts in QuickBooks Online as new connections, choosing a range that begins on your start date. Connecting a bank in QuickBooks Online is a separate step from the Self-Employed connection. The new feed pulls a range of recent history, so pick the shortest range that still covers your start date.

Work through each account in this order:

1. Create the bank account in QuickBooks Online with the opening balance on the start date.
2. Connect it to the bank, and choose a download range that reaches the start date.
3. Exclude any downloaded lines dated before the start date.
4. Review the rest against the accounts you set up.

When the feed can't reach back to the start date, fill the gap with files. [Intuit's help page on uploading transactions manually](https://quickbooks.intuit.com/learn-support/en-us/help-article/import-transactions/manually-upload-transactions-quickbooks-online/L0rE9OXBz_US_en_US) accepts CSV and QBO files, and it can also read a PDF or image statement for you to review before saving. Each file can hold up to 1,000 lines and 350 KB, and a CSV needs a 3-column or 4-column layout. The feed then takes over after the last uploaded line.

If the bank gives you only PDF statements for those months and you would rather check a file before it goes in, SimpleBankConvert is being built to turn a PDF bank statement into a CSV or QBO file for QuickBooks Online. Accounts are not open yet, and you can [see what it will do](/).

Once QuickBooks Online holds your bank activity, you can export it again whenever an accountant asks. The steps for that are in [exporting bank transactions from QuickBooks Online](/blog/export-bank-transactions-from-quickbooks-online).

## Personal lines mixed into QuickBooks Self-Employed accounts

Personal lines are common in Self-Employed, because many sole owners run one account for both. In QuickBooks Online, every line in a connected business account has to go somewhere in the ledger. Personal spending goes to an owner's draw account, and personal money put in goes to an owner's contribution account.

You have two clean options:

- **Keep the mixed account, and post personal lines to equity.** Simple to set up, but the review screen will fill with personal coffee and grocery lines every week.
- **Open a separate business account, and connect only that.** More work once, much less every month after. The old mixed account then stays out of QuickBooks Online, or appears only for the business lines you upload.

If you choose the second option partway through a year, the first months still carry mixed lines. Record their business totals with a journal entry rather than importing every personal line. [Importing journal entries into QuickBooks Online](/blog/import-journal-entries-into-quickbooks-online) explains how to prepare that file so debits equal credits.

Ask your accountant which option they prefer. They will be the ones reading the owner's draw total at year end.

## Keeping QuickBooks Self-Employed open until QuickBooks Online checks out

Keep QuickBooks Self-Employed open until QuickBooks Online has passed a full month's check. Cancelling on the day you start the new books leaves no way to look up an old category or download a forgotten report. A month or two of overlap costs little and removes that risk.

The check is short. For each bank account, take the QuickBooks Online opening balance and add every line through the end of the first month. Compare the result with the bank statement's closing balance. When they match for every account, the move worked.

Before you cancel, confirm three things:

- Every report in the export list above is saved and opens.
- The transaction list for the current year covers every month up to the start date.
- Mileage logs are saved as files, so past trips stay on record whatever the new setup tracks.

Then stop categorising in Self-Employed. From the start date on, QuickBooks Online is the only place new lines get reviewed, so nobody does the same work twice.
