> How to switch from Zoho Books to QuickBooks: export lists and transactions from Zoho, set opening balances and import the bank history you keep.
To switch from Zoho Books to QuickBooks, export your contacts, items, trial balance and open invoices and bills from Zoho as of a month end. Set up QuickBooks with those balances, dated that day. Then bring in bank history from the day after, using the feed where it reaches and statement files where it does not.

## Zoho Books exports to collect before the QuickBooks switch

Collect everything that becomes QuickBooks' starting point, plus the reports you will want for old questions. That is the customer, vendor and item lists, a trial balance at the switch date, aging reports for unpaid invoices and bills, and a bank transaction export for each account. Save them before your Zoho subscription lapses.

### The export list

1. Customers and vendors, with addresses, emails and tax details.
2. Items or products and services, with prices.
3. Trial balance as of the switch date.
4. Receivables aging and payables aging, invoice by invoice.
5. Bank and card transactions for each account, for every year you might need.
6. Profit and loss and balance sheet for each past year, as PDFs.

Zoho's export screens move between releases, so follow its current help for where each one sits. Bank transaction exports from other programs follow a similar shape; the guide to [exporting bank transactions from Xero](/blog/export-bank-transactions-from-xero) shows the columns such a file usually carries and how to trim it.

## QuickBooks Online or Desktop as the Zoho Books destination?

Most people leaving Zoho Books pick QuickBooks Online, because Zoho is a cloud program and Online keeps the same browser-based way of working. QuickBooks Desktop suits a business that wants its file on its own computer. The steps below follow Online, which takes CSV and bank files through its upload screen.

### What differs for Desktop

Desktop reads bank files through Web Connect, as QBO files, rather than through a CSV upload. Opening balances and lists are set up the same way. If you choose Desktop, check that each bank account can produce a QBO download, or plan to convert statements into that format.

## Zoho Books closing figures as QuickBooks opening balances

Opening balances in QuickBooks are the account balances on the day before QuickBooks takes over. Take bank and card balances from the statements, and the rest from Zoho's trial balance. Enter unpaid invoices and bills individually, so that payments can be applied to them when they arrive.

### A worked example

These values are examples only, for a switch on 2026-04-01.

| Zoho Books figure at 2026-03-31 | Example amount | Entered in QuickBooks as |
| --- | --- | --- |
| Operating account | 27,118.90 | Bank account opening balance |
| Corporate card | 2,404.12 owed | Credit card opening balance |
| Receivables, 4 open invoices | 8,650.00 | Four invoices dated as in Zoho |
| Payables, 2 open bills | 1,312.45 | Two bills dated as in Zoho |
| Remaining trial balance lines | various | One opening journal entry |

After entering them, run the QuickBooks balance sheet at March 31 and compare it with Zoho's. They should agree line for line.

## Bringing Zoho-era bank history into QuickBooks

Bank history is optional in this switch. If you start QuickBooks at the start of your tax year, you need lines from that date forward. Connect each account's feed first, then upload files for any earlier months the feed misses, one month per file and oldest first.

### What QuickBooks Online will take

Intuit's guide to [manually uploading transactions into QuickBooks Online](https://quickbooks.intuit.com/learn-support/en-us/help-article/import-transactions/manually-upload-transactions-quickbooks-online/L0rE9OXBz_US_en_US) lists QBO, QFX and CSV files, and it can also read a PDF or image statement for you to review. A CSV needs three columns (Date, Description, Amount) or four (Date, Description, Credit, Debit). Uploads are limited to 350 KB and 1,000 lines each.

### Sources for the files

Zoho's own bank export is one source, once you reshape its columns. Your bank's download is another. Card issuers have their own; [exporting American Express transactions to CSV](/blog/export-amex-transactions-to-csv) shows one example. For months that exist only as PDF statements, SimpleBankConvert is being built to turn each one into a CSV or QBO file QuickBooks will accept; join the list on the [get started page](/get-started).

## Which Zoho Books bank lines end up imported twice?

Duplicates are the main risk in this move. They appear when a QuickBooks feed reaches back into months you also imported from files, or when a transfer between two of your accounts arrives once from each side. Set every feed's start date after your last imported line, and match transfers instead of adding them.

### Where duplicates come from

- **Feed overlap.** A feed set to start on January 1 downloads lines that your files already brought in.
- **Transfers.** A move from savings to checking arrives on both accounts. Record it once, as a transfer.
- **Card payments.** The payment leaves checking and lands on the card account. It is one transfer, not an expense plus a payment.
- **Opening invoices.** A payment against an invoice dated before the switch must be applied to the invoice you entered, not added as new income.

### A quick check

After each month, export that account's lines from QuickBooks and compare the count with the statement. The steps for [exporting bank transactions from QuickBooks Online](/blog/export-bank-transactions-from-quickbooks-online) produce a file you can sort by date and amount, which makes any doubled line easy to see.
