> How to upload sales receipts to QuickBooks Online from a spreadsheet: the columns needed, the deposit account to choose and matching the bank deposit.
To upload sales receipts to QuickBooks Online, go to Settings > Import data, choose Sales Receipts and map a spreadsheet with one row per sale: date, customer, receipt number, product or service, amount and deposit account. Send receipts to Undeposited Funds when several sales reach the bank as one deposit, then group them with a bank deposit.

## Is there a sales receipt importer in QuickBooks Online?

Yes. Intuit's [common questions about importing data into QuickBooks Online](https://quickbooks.intuit.com/learn-support/en-us/help-article/import-export-data-files/common-questions-importing-data-quickbooks-online/L4OYJRFdj_US_en_US) lists sales receipts among the types you can import, next to invoices, estimates, deposits and expenses. The same page says each spreadsheet must stay under 1,000 rows.

The import lives on the Import data screen, which opens from the gear icon under Settings. The screen shows a tile for each type it accepts. If you do not see a sales receipt tile, your plan or region may differ, and the page above is the place to check what applies.

### What a sales receipt is for

A sales receipt records a sale that was paid on the spot. Intuit's guide to [creating sales receipts in QuickBooks Online](https://quickbooks.intuit.com/learn-support/en-us/help-article/sales-receipts/create-send-sales-receipts-quickbooks-online/L9vG2pbTQ_US_en_US) puts it simply: if the customer pays immediately, create a sales receipt; if they will pay later, create an invoice. One form records both the income and the money received, so there is no separate payment step.

### Splitting a large file

A year of daily market sales or a busy shop's till rolls can run past 1,000 rows. Split the file by month and upload each one separately. Keep the receipt numbers unique across all the files, so a row in the March file cannot be mistaken for one in April.

## Spreadsheet columns for a sales receipt upload

Each row in a sales receipt spreadsheet describes one line of one sale. The fields that matter are the receipt date, a receipt number, the customer, the product or service, the amount and the account the money went to. A payment method column helps later, when you sort receipts by how they were paid.

The mapping step shows which of the importer's fields are required. Intuit's invoice importer marks required fields with an asterisk, so look for the same marking when you map sales receipts. Anything in your sheet that has no matching field can be marked as not applicable.

### Products and customers come first

Every product or service named in the file should already be on the products and services list, with its income account set. That account decides where the sale lands on the profit and loss, so a receipt is only as accurate as the item behind it. Customers are worth adding first too. For walk-in sales with no named buyer, many businesses use one generic customer such as "Market sales" or "Cash customer".

### Formatting habits that keep rows clean

- One date format throughout, with four-digit years.
- Amounts as plain numbers, with no currency symbol.
- No totals row and no blank rows between sales.
- Receipt numbers that do not repeat ones already in QuickBooks.

The expense side of a spreadsheet import follows the same rules. [Importing expenses into QuickBooks Online from Excel](/blog/import-expenses-into-quickbooks-online-from-excel) covers that sheet, and Desktop users can compare it with [importing expenses into QuickBooks Desktop from Excel](/blog/import-expenses-into-quickbooks-desktop-from-excel).

## Picking the deposit account for uploaded sales receipts

Choose the bank account when each receipt reaches the bank on its own, at the same amount. Choose Undeposited Funds when several receipts arrive together as one bank deposit, such as a day's cash or a card processor's payout. The choice should mirror how the money actually shows up on the bank statement.

Intuit's sales receipt guide describes Undeposited Funds as a temporary account that holds payments you plan to deposit later. Receipts parked there wait until you group them with a bank deposit. Receipts sent straight to the bank account sit in the register right away, one line each.

### A rule of thumb by payment type

| Payment type | Usual deposit account | Why |
| --- | --- | --- |
| Single check banked alone | Bank account | One receipt, one deposit, same amount |
| Cash from a market day | Undeposited Funds | Many sales become one deposit slip |
| Card sales paid out in a batch | Undeposited Funds | The processor pays several sales at once |
| Bank transfer for one sale | Bank account | Arrives as its own line |

The table is a guide, not a rule from Intuit. If your bank shows card sales one by one rather than as a batch, send them to the bank account instead.

### Fixing receipts sent to the wrong account

Sometimes a whole file goes to the bank account when it should have gone to Undeposited Funds. The register then shows a dozen small lines where the statement shows one deposit, and nothing matches. For a few receipts, open each one and change the deposit account. For a whole month, it is usually quicker to delete the uploaded receipts, correct the deposit account column in the spreadsheet and upload the file again. Before you delete anything, run a sales report for the upload date so you have a list to check the second upload against.

## How do uploaded sales receipts meet the bank deposit?

Receipts in Undeposited Funds reach the bank through a bank deposit. In QuickBooks Online, create a bank deposit, choose the bank account, tick the receipts that went in together and check the total. Intuit's guide to [recording bank deposits in QuickBooks Online](https://quickbooks.intuit.com/learn-support/en-us/help-article/bank-deposits/record-make-bank-deposits-quickbooks-online/L2BBZOPdr_US_en_US) says that total should match your actual deposit slip.

Once the deposit total equals the amount the bank shows, the bank feed line can be matched to it instead of being added as something new. That match is the whole point of the exercise.

### A worked example: one weekend market

The figures below are invented for illustration. A bakery sells at a Saturday market and uploads these sales receipts, all to Undeposited Funds:

| Receipt | Date | Customer | Item | Amount | Paid by |
| --- | --- | --- | --- | --- | --- |
| M-301 | 05/09/2026 | Market sales | Bread | 184.00 | Cash |
| M-302 | 05/09/2026 | Market sales | Pastries | 96.50 | Cash |
| M-303 | 05/09/2026 | Market sales | Bread | 212.00 | Card |
| M-304 | 05/09/2026 | Market sales | Pastries | 141.00 | Card |

On Monday the bank shows two deposits: 280.50 in cash, and a card payout of 343.89. The card sales total 353.00, so the processor kept 9.11 in fees.

The cash deposit is simple: tick M-301 and M-302, and the total is 280.50. The card deposit needs one more line. Tick M-303 and M-304, then add a line for the fee. Intuit's deposit guide says to enter the fee as a negative amount in the section for adding funds, using a bank charges account and naming the processor. The deposit becomes 353.00 minus 9.11, which is 343.89, and it matches the bank line to the cent.

If the numbers refuse to agree, look for a sale that landed on a different day. A card sale made late on Saturday may be paid out with Sunday's batch, so the receipt belongs in the next deposit, not this one.

## Sales receipt uploads that count the same income twice

The usual mistake is recording the same sales twice: once as uploaded sales receipts, and again when the bank feed line is added as new income instead of matched to the deposit. The profit and loss then shows double sales, and Undeposited Funds keeps a balance that never clears.

It happens most often when someone uploads receipts after the bank feed has already been reviewed. The deposit line was categorised to a sales account weeks ago, and now the receipts add the same money again. Before an upload, look at the bank feed for the same period. If those deposits were already added as income, either skip the receipt upload or undo the added bank lines and match them to the new deposits.

### Signs it has already happened

- Sales on the profit and loss look about twice what the till or market report says.
- Undeposited Funds shows a balance made of old receipts.
- The bank deposit screen lists receipts from months ago that were never grouped.

If any of these turn up, fix the period before uploading the next file. Leaving it means each new upload adds to a balance nobody can explain.

## When a sales receipt is the wrong record for a sale

A sales receipt is wrong when the customer has not paid yet. That sale needs an invoice, with the payment recorded when the money arrives. It is also more detail than some businesses need: a shop that only wants daily totals can record one receipt per day instead of one per sale.

Some other cases suit a different tool:

- **Sales already summarised by a platform.** Online stores and payment apps often send one payout covering many sales, fees and refunds. A summary entry per payout can be simpler than hundreds of receipts.
- **Refunds.** Money going back to a customer is a refund receipt or a credit, not a negative sales receipt.
- **Books kept in Quicken.** Quicken is a different program with its own import, and [importing a CSV file into Quicken](/blog/import-csv-into-quicken) covers what that file should look like.

Whichever record you choose, the bank statement is the check at the end. When the statement is a PDF and the bank feed has gaps, [SimpleBankConvert](/) is being built to turn that PDF into a CSV or QBO file for the QuickBooks Online bank upload. Accounts are not open yet; [Get started](/get-started) saves you a place.
